The Small Business Guide to Software Data Migration

Data migration is where most software projects fail. The new tool works, but the data is a mess. Here's how to do it right.

A step-by-step approach to migrating data between software platforms without corruption or loss.

essential migration phases
Plan, test, execute, verify, each phase is equally important.

Never migrate directly from production to production. Use staging to validate data integrity.

Data migration is when most data corruption occurs. Always verify data integrity on the destination.

Break migration into four phases. Audit: document what data exists, where it lives, and how it's structured. Clean: deduplicate, standardize formats, and remove obsolete records before moving anything. Map: create a field-by-field mapping between old and new systems — which old field goes to which new field, and what transformations are needed. Test: import a small sample (5-10% of data), verify accuracy, fix issues, then repeat with the full dataset. Each phase prevents the errors that compound when migration is rushed.

The validation requirement

After migration, validate aggressively. Check record counts: does the new system have the same number of customers as the old? Check spot records: pick 20 random records and compare every field. Check relationships: does customer A still link to orders B, C, and D? Check reports: do revenue totals match between old and new systems? Most businesses skip validation and discover discrepancies months later, when the old system is already decommissioned. Validation is insurance.
