Software Integration Guide for Mental Health Counseling Practices

Google Workspace and QuickBooks Online carry most of the integration load in a counseling practice's stack — but the EHR you pick swings your total connection count by more than double: SimplePractice links to five other tools directly, TherapyNotes to two.

Based on the current integration map for an 8-person counseling practice's tool stack.

Ask which tools in a counseling practice's stack "integrate" and the honest answer is: almost everything routes through Google Workspace or QuickBooks Online, and a shorter, EHR-specific list connects directly to whichever behavioral-health platform you picked. That last part is where this specialty differs from a lot of others we cover — the two EHRs aren't just a price and feature decision, they carry very different amounts of the integration load themselves.

The three hubs

An illustration of a 4-pillar software stack blueprint.

Google Workspace, QuickBooks Online, and your EHR carry almost all the integration load in this stack.

Google Workspace connects directly to Semrush, Zoom Healthcare, 1Password, Bitwarden, Huntress, and DocuSign — the widest reach of any single tool in the stack, which is why it's priced as the practice-wide productivity layer at $170/mo rather than a per-department tool. QuickBooks Online connects directly to Mailchimp, Tebra, Gusto, and Stripe — it's the finance cluster's hub, and the one place marketing spend, insurance billing, payroll, and client payments are all supposed to reconcile before your bookkeeper closes the month. Your EHR is the third hub, but which EHR you pick changes its size dramatically: SimplePractice connects directly to the Psychology Today profile, Tebra, Zoom Healthcare, Stripe, and DocuSign — five tools. TherapyNotes connects directly to only the Psychology Today profile and Tebra — two.

Checking which side of an 'integration' claim is actually live is worth doing before you build a workflow around it.

A practice running TherapyNotes alongside Stripe or DocuSign is relying on tools that don't list a native TherapyNotes connection right now — that's manual reconciliation and manual consent tracking, not automation, no matter how either sales page describes it. Practices on SimplePractice get all three (video, payments, e-signature) wired in from day one.

The finance cluster runs mostly on its own

Gusto and Stripe both connect to QuickBooks Online, but Gusto has no direct EHR connection at all — which is normal, since payroll has no reason to touch a client chart. Mailchimp is similar: it connects to QuickBooks Online (for tracking marketing spend) but not to either EHR, which means client emails collected at intake don't automatically populate your Mailchimp list — someone has to export and import, or the newsletter misses recent clients.

Security tools protect the device, not the chart

1Password, Bitwarden, and Huntress all connect to Google Workspace, not to either EHR directly. In practice, that means your password manager and endpoint detection cover the devices staff use to access the EHR — they don't give you visibility inside the EHR's own access logs. For HIPAA accounting-of-disclosures purposes, that's still the EHR vendor's job, not Huntress's or 1Password's. DocuSign connects to both Google Workspace and, on the SimplePractice side only, the EHR itself — a useful reminder that "integrates with Google Workspace" and "integrates with your EHR" are two different claims.

Questions to ask before you assume two tools 'integrate'

  • Does the integration move clinical or billing data, or is it just single sign-on through Google Workspace?
  • Is the connection documented on both vendors' side, or only one?
  • If you switched EHR platforms tomorrow, which of your other tools would silently lose their sync — Stripe and DocuSign are the two to check first?
  • Who currently owns closing the gap when a sync doesn't happen — front desk, bookkeeper, or nobody?

None of this changes the sticker price of any single tool — the optimized stack still runs $1,103-1,945/mo either way. It changes how much staff time that number actually buys you, especially if you're on TherapyNotes and running Stripe or DocuSign alongside it.

Good default doesn't mean zero configuration. The EHR-to-payments gap is the single place counseling practices lose the most staff hours to integration friction nobody priced in — and it's decided almost entirely by which EHR you picked.
