Software Integration Guide for Martial Arts Studios
QuickBooks Online carries almost all the integration load in a martial arts studio's stack. Meta Ads, the priciest tool in the whole thing, carries none of it — it doesn't talk to your CRM at all.
QuickBooks Online is the single most-connected tool in a martial arts studio's stack — eight of the other tools plug into it directly
Based on the integration data for a 5-person martial arts studio's 14-tool stack; the exact count depends on which school-management platform you run.
Ask which tools in a martial arts studio's stack "integrate" and the honest answer is: almost every finance tool connects to QuickBooks Online, most admin tools connect to Google Workspace, and whichever school-management platform you picked connects to a different subset of everything else. Outside those hubs, several tools — Meta Ads especially — don't talk to the rest of the stack at all, no matter what their sales page implies.
The two real hubs
QuickBooks Online and Google Workspace carry almost all of the integration load; your school-management platform is only a hub if you picked Zen Planner.
QuickBooks Online is the most-connected tool in the stack by a wide margin: Mailchimp, Zen Planner, Kicksite, PushPress, Gusto, Stripe, Ramp, and DocuSign all list a direct connection to it — eight of the other thirteen tools. Google Workspace is the second hub, connecting directly to 1Password, DocuSign, and Gusto. Your school-management platform is only a wide hub if you picked Zen Planner, which connects to QuickBooks Online, Mailchimp, Stripe, WaiverForever, and EZ Texting; Kicksite and PushPress each connect to a narrower set.
Zen Planner is the only school-management platform that reaches every category it could plug into — Kicksite and PushPress each reach about half of it.
Tools each platform connects to directly
Where the school-management hub actually reaches — and where it doesn't
Direct or cross-listed integration, by tool
| Tool | Zen Planner | Kicksite | PushPress |
|---|---|---|---|
| QuickBooks Online | |||
| Stripe (payments) | |||
| Mailchimp (email/SMS) | |||
| WaiverForever (intake waivers) | |||
| EZ Texting (SMS reminders) |
Checking which side of an "integration" claim is actually live is worth doing before you build a front-desk workflow around it.
If your studio runs Kicksite and sells uniforms or tournament registrations through Stripe, that revenue doesn't land in Kicksite automatically — someone matches it by hand, every week, for as long as you run that pairing. Switch to PushPress and Stripe syncs, but Mailchimp and EZ Texting still don't. Zen Planner is the only platform in this category that reaches all five of these categories, which is a real reason it costs $18-30/mo more than the alternatives, not just brand pricing power.
Meta Ads is a true island
Ad spend that never reaches your CRM is money whose return you can't actually measure.
Meta Ads doesn't connect to any school-management platform, and no other tool in the stack lists a connection to it either — it only talks to Mailchimp and Google Workspace. Every trial-class lead a Facebook or Instagram ad generates has to be manually entered into Zen Planner, Kicksite, or PushPress before it becomes a scheduled class. At $600/mo, that's the priciest tool in the whole stack running with the least automation behind it — worth a standing process (a same-day entry rule, or a simple lead-capture form a staffer clears every morning) rather than assuming the ad platform is doing more than it actually does.
The finance cluster runs on its own
Gusto, Stripe, and Ramp all connect to QuickBooks Online and to each other, but none of them connect directly to whichever school-management platform runs the schedule — which is normal, since payroll and expense cards have no reason to touch a class roster. It does mean QuickBooks Online is the one place tuition, retail, and payroll numbers are supposed to reconcile every month, fed by whatever billing export your school-management platform produces.
Confirming an integration actually moves data — not just that a vendor's page mentions the other tool's name — is worth doing once, on paper, per tool pair.
Questions to ask before you assume two tools "integrate"
- Does the integration move billing or student data, or is it just single sign-on?
- Is the connection listed on both vendors' side, or only one?
- If you switched school-management platforms tomorrow, which of your other tools would silently lose their sync?
- Who currently owns closing the gap when a sync doesn't happen — front desk, bookkeeper, or nobody?
None of this changes the sticker price of any single tool — the optimized stack still runs $1,228-1,996/mo either way. It changes how much staff time that number actually buys you, which is the real cost of a "good default" that still needs configuration.
Good default doesn't mean zero configuration. The Meta Ads-to-CRM gap and Kicksite's narrow integration list are the two places a martial arts studio loses the most hours to friction nobody priced in.
